Data Privacy Notice for Job Applicants

EFFECTIVE DATE: MAY 25, 2018 

The non-profit educational organization "Trustees of Anatolia College”, with headquarters in Boston, Massachusetts, USA and activity in Greece, henceforth  "Anatolia College", operates in Pylaia, Thessaloniki. Anatolia College as the controller defines the purposes and the manner of processing personal data, in accordance with the General Data Protection Regulation 679/2016 EU (GDPR) on the Protection of Individuals with regard to the Processing of Personal Data and on the free movement of such data, and the generally applicable legislation.

This Privacy Notice describes how Anatolia College handles personal data you submit when applying for a job.

Anatolia College collects and processes the personal data which are adequate, relevant and limited to the recruitment process, according to the General Data Protection Regulation (EU) 2016/679 and the relevant Greek legislation.

 You may submit your personal data electronically in the following ways: 

1. YOUR CONSENT 

By submitting your application data, you 

• declare that you have read, understood and accepted this Privacy Notice for job applicants; 

• are granting your consent for the use and processing of your personal data in accordance with this notice; 

• are declaring that the information given in the application is complete, accurate and true, and understand that incorrect statements could lead to your application being rejected; 

• are authorizing Anatolia College to verify statements contained in this application and to make any necessary reference checks. 

Anatolia College reserves the right to modify this Data Protection policy for job applicants on our website (https://www.anatolia.edu.gr employment/opportunities). 

If you submit your data following the effective date of a modified privacy policy, your information will be handled in accordance with the updated Private Notice for Job Applicants.  We recommend that you check the Privacy Notice on our website https://anatolia.edu.gr/en/privacy-policy each time you send additional candidate data to Anatolia College. 

2. DATA WE COLLECT AND PROCESS ABOUT YOU 

This Privacy Notice covers any candidate data you submit to Anatolia College for the recruiting process. This may include but is not limited to the following information: 

  • Your name and contact details
  • Information included in your CV or cover letter, such as job history, academic background, skills and competencies, personal interests, languages spoken, questionnaire results.
  • Job preferences and type of employment sought, willingness to relocate. 
  • Names and contact details for references
  • Letters of Reference
  •   Data concerning health or other information required by law or by the nature of operations of the educational organization working with minors and adult students.

Anatolia College may collect data directly from you or from third parties, in order to verify the authenticity of the submitted documentation or employment reference. This is subject to your consent where required by law. For the avoidance of doubt, Anatolia College does not accept from applicants any confidential or proprietary information which you have received from your previous employers during your employment to other employers. 

3. FOR WHAT PURPOSE WILL YOUR DATA BE USED

The personal data you provide in your application (as part of the recruitment process) will only be held and processed to facilitate the selection process and in connection with any subsequent employment at Anatolia College. Your personal data may be used to assess your application for employment at Anatolia College, to verify your information, to conduct reference checks, to communicate with you and to inform you of further career opportunities. 

In the event of your application resulting in the offer and your acceptance of a position at Anatolia College, the data collected will become part of your employment record and will be used for hiring and employment purposes. The processing of additional personal data you may submit for your contract will be regulated by the Employee Consent Notice on the Processing of Personal Data of Anatolia College which will be communicated to you, in case of hiring.

In some cases, the organization processes data to ensure that the applicant is compliant with his/her legal obligations, such as applicant's eligibility to work in Greece. 

Anatolia College has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. The Organization may also need to process data from job applicants to respond to and defend against legal claims.

Finally, in order to safeguard the implementation of equal opportunities standards, Anatolia College may process other special categories of data, such as sensitive personal data, e.g. information about ethnic origin, nationality, health or religion or belief. 

For the applicants who are finalists in the selection process, Anatolia College is obliged to seek information about criminal convictions and offences. 

What if you do not provide personal data

You are under no statutory or contractual obligation to provide data to the Organization during the recruitment process. However, if you do not provide the information, Anatolia College will not process your application due to the absence of information.

4. WHO CAN ACCESS YOUR DATA

Only authorized employees of Anatolia College - such as HR assigned staff or management team members participating in selection committees, line managers and the IT Office- have access to your personal data. Except as set out in this policy or as required by the GDPR and law, your personal data will not be transferred to any third party without any further notice or explicit consent where needed. 

HOW DOES ANATOLIA COLLEGE PROTECT PERSONAL DATA

Anatolia College takes the security of your data seriously. It has internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused, disclosed, and not accessed except by our authorized employees in the proper performance of their duties.

5. DATA RETENTION 

Your personal data shall not be kept for longer than is necessary for the recruitment process. Therefore, unsuccessful application data will be deleted immediately after the completion of the hiring process unless you are included to the reserve list of applicants for the position upon your request. 

In addition to using your data for the position for which you have applied, Anatolia College may retain and use your application data to consider you for other positions, but only with your explicit consent and for a maximum period of 12 months.

If you do not want to be considered for other positions, Anatolia College will delete all your data immediately without any further notification. 

6. YOUR RIGHTS 

You may exercise the following rights in relation to your candidate data:

The right of access. You are allowed anytime to access your personal data.  Information will be provided within 15 days of receipt. 

The right to rectification. You are entitled to have personal data rectified if it is inaccurate or incomplete. 

• The right to erasure. You can request the deletion or removal of your personal data where there is no compelling reason for its continued processing. 

• The right to restrict processing. You have the right to suppress processing of personal data. 

  •   The right to withdraw consent. You have the right to withdraw consent from the processing of your personal data for recruitment purposes. 
  •   The right to object to a selection decision based solely on automated processing such as commonly occurs when applicants are filtered out by keywords in applicant tracking software. Individuals must be informed when a decision has been made solely using automated processing and they have the right to request a review of the decision.
